Moving to Google Workspace is easier when your email, files and team have a clear plan. Start small, test access and check the results before retiring Microsoft services.

Use Google’s current import guide to choose a method for your edition, data types and migration size.

1. Plan the move

Decide what to keep, then create Google accounts, assign licenses and prepare shared drives before importing data.

  • List your users and data: mailboxes, calendars, OneDrive files and SharePoint libraries.

  • Map ownership and permissions. Match each account and file destination to the right place in Google Workspace.

  • Prepare your team. Set a timeline, name an owner for each task and explain where to get help.

2. Move files and test access

Run a pilot with a small group. Include restricted and externally shared files so you can check permissions before moving everyone.

  • Choose a supported import method. Check its current limits and review reports for skipped or failed items.

  • Check OneDrive files. Confirm ownership, folders and formatting in the destination.

  • Check SharePoint libraries. Test shared drive membership and make sure the right people can view and edit the files.

3. Move email and switch delivery

Import historical mail first. Check calendar, contact and shared mailbox support for your chosen method.

  • Check each mailbox is mapped to the right Google account before routing mail to Gmail.

  • Test sending and receiving. Tell staff when to start using Gmail.

  • Update your domain’s MX records to route incoming mail to Google. Monitor delivery while the change takes effect.

4. Check the results

Ask users to check important emails, meetings and shared files. Review import reports and resolve missing or failed items.

Import remaining changes where your tool supports it. Keep the source data available and back up what you need before cancelling Microsoft services.
